how to secure your company?
March 31 marks the commemoration of International Backup Day. It is a date on which individuals as well as small and large companies are often reminded of the importance of backing up their data. Taking advantage of the occasion, we would like to try to make you aware of the problems arising from not protecting your files.
There are still many companies that do not pay due attention to something that almost always ends up taking its toll. Let’s take a look at some things you should be clear about.
International Backup Day, some facts and figures
You may be surprised that there is a World Backup Day But it’s an important enough issue that we should take the time to talk about it. Why? Because according to a Koll Ontrack survey of more than 200 companies and individuals.
- Nearly 47% of Spanish users have lost their data ever due to some kind of failure in their devices.
- Only 34% value the need to have up-to-date backups.
Two interesting data that justify that once again we pay attention to the IT security of the company, since many times businessmen are not aware of the risks they run. Let’s take it one step at a time.
What are backups?
The backup copy is a duplication or backup of a program or any type of file. It is used to be able to recover files in case they are damaged, deleted or unusable. For companies, it is a real relief in situations that can be complicated. For example:
- I have deleted a file I have to deliver it tomorrow, how do I get it back?
- My hard disk has crashed and I can’t recover the files that were inside.
- A virus has entered my PC and I need to recover damaged files as they were important for my company.
- I have to move all programs and files from my computer to a new computer, but I don’t have time to copy everything.
If I don’t make backups, what are the risks?
Whether at the level of SMEs or individuals, not making backups is not a way to save time and work, but rather a high-risk carelessness. Just as there must be a fire alarm in a building, we should not work with a computer on which we handle files of great business and financial value without backing them up.
The consequences of not being able to recover lost, damaged or deleted files can be of different types:
- Legal: losing relevant information from third parties, if there is no other way to access a file, may carry a legal risk if the person or entity has suffered serious harm and decides to take legal action.
- Economic: if backups are not made and a file is lost or deleted that can no longer be recovered, this can result in loss of the job, missed deadlines and, as a consequence, loss of the client and loss of money.
- Business: from an operational point of view, work files, whether in the administrative area, marketing, sales or other sectors, can mean the loss of an entire day’s work, or even of a company’s archives.
- Branded. All this also has some consequences for your brand, as it implies that you cannot cope with eventualities, which implies a loss of confidence in your brand.
How can backups be made?
There are several ways to create backup copies and we have already talked about them in this blog. In this section I want to focus on some important aspects: how to make backups, how we should manage them and where we store them.
1.How to make a backup copy?
There are at least two ways to do it:
- Manually: is a tedious job, and in cases of some companies, literally impossible because of the huge amount of information produced every day.
- Automated: is much more convenient, as it allows employees to work freely without having to be aware of saving backups every day.
2.Where do we keep our backups?
This point is very important. Encrypted and automated cloud backups are the most recommended, since we can access them in a matter of minutes. Saving backups on physical devices may be a temporary solution, but it still involves the risk of device corruption.
Having one or more backup copies, although it may be excessive, will sometimes be the most advisable, if what we want is to avoid all risks, something essential when working on sensitive issues.
3. How do we manage recovery copies?
The accumulation of backups makes no sense. They have to be managed rationally, because although data redundancy has positive effects, it also has its downside: high costs in storage space or the impossibility of finding or retrieving them in a short time.
To make a proper management of backups, it is important that we find. an easy way to access them. It does not make sense, for example, to accumulate hundreds of CDs on a shelf in the office, since we will be taking up space and they will be difficult to find in case of contingency. This implies making a security protocol to respond to contingencies and reduce waiting times.
In addition, it is necessary to determine what needs to be backed up. and what is not. Otherwise, we will be accumulating gigabytes and gigabytes of useless data that cost money and imply a storage cost.
I hope that some points about the need to make backups have become clearer to you in this International Security Day The best way to do them and how to manage them correctly. In this way, we will be able to reduce unforeseen events as much as possible in our computer equipment and have good security devices.
